Moonstone Studio Ltd is committed to providing a safe, supportive and welcoming environment for all clients.
These Terms & Conditions apply to all bookings, purchases and participation in classes, events and services offered by the studio. By booking or attending a class, you agree to the following.

1. Booking Your Session

All classes must be booked via the Arketa booking system or app.
Full payment is required at the time of booking to secure your space.
Clients are responsible for managing their own bookings, memberships and class passes through Arketa.
Moonstone Studio Ltd reserves the right to refuse entry if a booking has not been confirmed or paid.

2. Cancellations & No-Shows

You may cancel a class at least 12 hours before the scheduled start time to receive a class credit.
Cancellations made within 12 hours will result in the loss of the class pass.
No refunds are issued for missed, forfeited, or unused classes.
Email cancellations are not guaranteed to be processed in time. All cancellations must be made through Arketa..
If a class is cancelled by Moonstone Studio Ltd, Clients will receive either a class credit or a refund.

3. Waitlist Policy

If a class is full, you may join the waitlist.
When a space becomes available, th e next client on the waitlist will be automatically added to the class and notified by email.
Once added to the class, standard cancellation policies apply.
The waitlist closes 2 hours before the class start time.

4. Class Passes & Memberships

Single Class Pass

One-off purchase
Valid for 4 weeks
Does not auto-renew

Block Passes (3, 5 or 10 classes)

One-off purchase
Valid for 6 months
Does not auto-renew

Monthly Memberships

Rolling monthly direct debit
Minimum 3-month commitment
Membership options may include Bronze, silver and Gold membership options
To cancel, clients must email info@moonstonestudio.co.uk at least 7 days before their renewal date.

General Terms

Passes and memberships are non-transferable and non-refundable.
Expired passes cannot be extended unless at the discretion of Moonstone Studio Ltd.
Clients are responsible for keeping their payment details up to date.

5. Late Arrival Policy

Please arrive at least 5 minutes before the class begins.
Clients arriving more than 5 minutes late may not be admitted for safety reasons.
Late arrivals will result in the class being forfeited.
New clients should arrive 10 minutes early for an equipment introduction.

6. Health & Safety

A completed health form is required before attending your first class.
You must inform your instructor of any health conditions, injuries, or pregnancy.
Moonstone Studio Ltd reserves the right to refuse participation if it is deemed unsafe.

Pregnancy Policy

With appropriate medical approval, clients may attend classes up to 14 weeks pregnant.
After 14 weeks, participation is only permitted with a pre- or post-natal certified instructor.

Physical Adjustments

Instructors may offer hands-on corrections.
If you prefer not to receive physical adjustments, you must inform your instructor prior to class.

Accidents & Incidents

Any injury, incident or equipment concern must be reported immediately.

7. Personal Belongings

Personal items are brought into the studio at your own risk.
Moonstone Studio Ltd is not responsible for lost, damaged, or stolen belongings.

8. Liability Waiver

By attending any class, session, workshop or event, you acknowledge and agree that:

You participate voluntarily and assume full responsibility for any risks or injuries.
You understand Pilates and Yoga involve physical activity that carries potential risk.
Moonstone Studio Ltd, its instructors, and staff are not liable for any injury, loss, or damage unless caused by negligence, which cannot be excluded under UK law.
Nothing in these Terms & Conditions excludes liability for personal injury or death caused by negligence.

9. Amendments to Terms

Moonstone Studio Ltd reserves the right to update these Terms & Conditions at any time.
The most current version will always be available on our website and via Arketa.
Continued use of our services constitutes acceptance of any updated terms

10. Additional Studio Policies

Right to Refuse Service & Client Conduct

Moonstone Studio Ltd reserves the right to refuse entry, participation, or future bookings to any client whose behaviour is deemed inappropriate, unsafe, disruptive, or abusive towards staff or other clients.
This includes, but is not limited to, verbal abuse, harassment, discrimination, or failure to follow studio instructions.
No refunds will be issued in such circumstances.

Children & Minimum Age Policy

Classes are intended for adults only.
Clients must be 18 years or older to attend classes unless otherwise stated.
Any exceptions for under-18s must be agreed in advance and may require written parental or guardian consent.

Studio Closures & Schedule Changes

Moonstone Studio Ltd reserves the right to make changes to the class timetable, instructors, or studio availability at any time.
In the event of instructor illness, emergency closure, or unforeseen circumstances, classes may be cancelled or rescheduled.
Where applicable, affected clients will receive a class credit or refund.

Membership Freezes & Pauses

Memberships may be paused in exceptional circumstances such as illness, injury, or pregnancy, at the discretion of Moonstone Studio Ltd.
Requests must be made in writing and approval is not guaranteed.
Memberships cannot be paused for holidays or general unavailability.

Photography & Video Recording

From time to time, photography or video recording may take place within the studio for marketing or promotional purposes.
Clients will be informed in advance and may opt out at any time by notifying a member of staff.
Personal photography or filming during class is not permitted without prior consent.
