Moonstone Studio Ltd is committed to providing a safe, supportive and welcoming environment for all clients. These Terms & Conditions apply to all bookings, purchases, memberships, classes, workshops, events and services provided by Moonstone Studio Ltd. By booking, purchasing or attending any service, you agree to these Terms & Conditions.

 

1. ​BOOKING YOUR SESSION

Clients may cancel a class up to 12 hours before the scheduled start time and receive a class credit.

Cancellations made within 12 hours of the class start time will result in the loss of the class credit or session.

No refunds will be provided for missed, forfeited or unused classes.

All cancellations must be made through Arketa. Email, social media or verbal cancellation requests cannot be guaranteed to be processed in time.

If Moonstone Studio Ltd cancels a class, clients will receive either a class credit or a refund.

2. CANCELLATIONS & NO-SHOWS

Clients may cancel a class up to 12 hours before the scheduled start time and receive a class credit.

3. WAITLIST POLICY

If a class is fully booked, clients may join the waitlist.

When a space becomes available, the next client on the waitlist will automatically be added to the class and notified by email.

Once added to a class from the waitlist, the standard cancellation policy applies.

The waitlist closes 2 hours before the scheduled class start time.

4. CLASS PASSES & MEMBERSHIPS

 

Single Class Pass

• One-off purchase
• Valid for 4 weeks from purchase date
• Does not auto-renew

Block Passes (3, 5 or 10 Classes)

• One-off purchase
• Valid for 3 months from purchase date
• Does not auto-renew

Monthly Memberships

• Monthly recurring payment
• Minimum commitment period of 3 months
• Available membership options may include Bronze, Silver and Gold Memberships
• Following the initial commitment period, memberships continue on a rolling monthly basis until cancelled

Membership Cancellations

To cancel a membership, clients must email info@moonstonestudio.co.uk at least 7 days before their renewal date.

General Membership & Pass Terms

• Memberships and class passes are non-transferable
• Memberships and class passes are non-refundable unless required by law
• Expired passes cannot be extended except at the discretion of Moonstone Studio Ltd
• Clients are responsible for maintaining accurate payment information
• Failed payments may result in suspension of membership access until payment is received

5. LATE ARRIVAL POLICY

Please arrive at least 5 minutes before the class start time.

New clients attending a reformer class should arrive 10 minutes early for an equipment introduction and safety briefing.

For safety reasons, clients arriving more than 5 minutes after the class start time may not be admitted.

Late arrivals will forfeit their class credit.

6. HEALTH & SAFETY

A completed health questionnaire is required before attending your first class.

Clients must inform their instructor of any medical condition, injury, illness, surgery, pregnancy or other circumstance that may affect participation.

Moonstone Studio Ltd reserves the right to refuse participation where attendance is considered unsafe.

Clients are responsible for ensuring they are physically and medically fit to participate in any class.

Pregnancy Policy

With appropriate medical approval, clients may attend classes up to 14 weeks pregnant.

After 14 weeks, participation is only permitted where suitable pre- or post-natal instruction is available and approved by the studio.

Hot Yoga Classes

Clients acknowledge that hot yoga classes take place in a heated environment and may involve increased physical demands.

Participation may carry risks including dehydration, dizziness, nausea, heat exhaustion, fainting or aggravation of existing medical conditions.

Clients are responsible for ensuring they are adequately hydrated before, during and after class and should stop exercising and notify an instructor immediately if they feel unwell.

Use of Reformer Equipment

Clients agree to follow all instructor instructions regarding the safe use of reformer equipment.

Equipment must only be used as directed during supervised sessions.

Any equipment concerns, defects or safety issues must be reported immediately to a member of staff.

Physical Adjustments

Instructors may offer hands-on adjustments to support alignment and technique.

Clients who do not wish to receive physical adjustments must inform their instructor before class begins.

Accidents & Incidents

Any injury, accident, near miss or equipment concern must be reported immediately to a member of staff.

 

7. PERSONAL BELONGINGS

Personal belongings are brought into the studio at the client's own risk.

Moonstone Studio Ltd accepts no responsibility for loss, theft or damage to personal property except where liability cannot legally be excluded.

 

8. LIABILITY

By attending any class, workshop, event or session, clients acknowledge and agree that:

• Participation is voluntary.
• Yoga, Pilates, reformer Pilates and fitness activities involve inherent physical risks.
• Clients assume responsibility for their own participation and wellbeing.
• Clients will follow all instructor guidance and safety instructions.

Nothing in these Terms & Conditions excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any liability that cannot be excluded or limited by law.

Subject to the above, Moonstone Studio Ltd shall not be liable for any indirect loss, consequential loss, personal property loss or damage arising from participation in studio activities.

9. DATA PROTECTION

Moonstone Studio Ltd processes personal information in accordance with applicable UK data protection legislation, including the UK GDPR and the Data Protection Act 2018.

10. CHANGES TO TERMS

Moonstone Studio Ltd reserves the right to amend these Terms & Conditions at any time.

The most current version will always be available via our website and booking platform.

Continued use of our services following any amendment constitutes acceptance of the updated Terms.

 

11. ADDITIONAL STUDIO POLICIES

Right to Refuse Service & Client Conduct

Moonstone Studio Ltd reserves the right to refuse entry, participation or future bookings where a client's behaviour is considered inappropriate, unsafe, disruptive, abusive, discriminatory or contrary to studio policies.

This includes harassment, intimidation, damage to equipment, failure to follow instructor guidance or behaviour that negatively impacts other clients.

Any refund entitlement will be assessed in accordance with applicable consumer law.

Children & Minimum Age

Classes are intended for adults aged 18 years and over.

Any exception for a client under 18 years of age must be agreed in advance and may require written parental or guardian consent.

Studio Closures & Schedule Changes

Moonstone Studio Ltd reserves the right to amend class schedules, substitute instructors, modify services or close the studio where necessary.

Where classes are cancelled by the studio, affected clients will receive either a refund or class credit.

Membership Freezes

Membership freezes may be granted in exceptional circumstances such as injury, illness or pregnancy.

Requests must be submitted in writing and approval is at the sole discretion of Moonstone Studio Ltd.

Approved freezes may be granted for a maximum period of 3 months.

Memberships cannot be frozen for holidays, travel or general unavailability.

Photography & Video Recording

From time to time, photography or video recording may take place for marketing and promotional purposes.

Clients will be informed in advance and may opt out at any time by notifying a member of staff.

Clients who opt out will not be intentionally featured in marketing content.

Personal photography or filming during class is not permitted without prior consent from Moonstone Studio Ltd.
